Submitting Proposals

The College of Agriculture and Life Sciences

All Cooperative Extension proposals must be submitted to the College of Agriculture and Life Sciences (CALS). CALS Administrative Services web site provides Sponsored Projects information, including the Instructions for Routing Grant Proposals.

You must submit the following to CALS Administrative Services:

  • The proposal solicitation which describe the administrative guidelines.
  • A completed Proposal Routing Sheet, signed by the Principal Investigator(s) and the Unit Heads of all involved departments.
  • Your proposal. At a minimum, include an abstract, budget, and budget narrative. Some sponsors require specific forms and/or special certifications as part of the proposal.
  • A CALS Worksheet for Cost Sharing or Matching, if your proposal involves cost sharing or matching funds.
  • Written justification and approval requirements for less than full indirect cost rates.

The University

Depending upon the type of proposal and who or what it may affect, you may need to have several units sign off on the proposal before you are allowed to send it to the funding entity. A flowchart of the routing procedure may be useful.

If your project includes human subjects, you will need to complete human subjects training and testing and follow the requirements of the human subjects committee. If you have questions about the human subjects test or requirements contact Dr. Rebecca Dahl at 626-6721.

Sponsored Projects will give the final ok for your proposal to be sent out. You may contact the Sponsored Projects staff if you have questions.

You

Before you mail or electronically submit the proposal to the organization or agency be sure you have a complete copy of the proposal for your own records. This ensures that if the proposal is lost that you can resubmit it with minimal effort. If the attachments or appendices are long you may want to keep just a list of them. It is strongly suggested that a signature be required at the receiving end when you ship your proposal.

If, after about two weeks,you have not received notice that your proposal was received, contact the agency/organization to see if they have received it. You may want to ask at this time if you can clarify anything or provide additional information.
